Complete Guide to Automated Inspection Scheduling & Checklist Management
The CITIRI Inspection System automatically manages recurring inspections for physical assets (systems and equipment) at your facility. Think of it like a car maintenance scheduleβexcept instead of one car, you have hundreds of systems (gates, HVAC units, electrical panels, etc.) that need regular inspections.
Without automation, managing inspections would require:
Setup Phase (You do this once):
Automated Phase (The system does this automatically):
Physical assets that need inspection β gates, HVAC units, fire panels, electrical systems, and more.
The schedule that defines when and how often a system needs inspection, plus which template and contractor to use.
The actual checklists that inspectors work through. These are automatically created from templates.
Pre-built checklists containing all the items to check. Templates are reusable across multiple inspections.
You can set inspections to repeat at various intervals:
Each inspection moves through these statuses:
Inspectors are responsible for conducting inspections and documenting their findings.
Contractors receive remediation work for items that failed inspection.
Administrators have full access to configure and manage the entire inspection system.
Here's how inspections flow through the system, step by step:
An administrator creates the System record and sets up the Inspection schedule, including the cadence, template, and contractor assignment. This only needs to be done once per system.
The system runs nightly and checks all inspections. When an inspection is due, it automatically creates a new Activity List (checklist) from the template and assigns it to the inspector.
The inspector logs in, sees their assigned Activity List, and works through each checklist item. They mark each item as either Complete (passed) or Recheck (failed).
As the inspector works, the system automatically updates the inspection status to reflect progress. Once complete, it determines if there are failed items that need remediation.
If any items failed, the system automatically creates a new Activity List containing only the failed items and assigns it to the designated contractor.
The contractor logs in, sees their assigned remediation list, fixes the physical issues, and marks each item as complete when repaired.
Based on the inspection cadence, the system schedules the next inspection. When that date arrives, the entire process repeats from Phase 2.
The CITIRI Inspection System is a fully automated solution for managing recurring inspections:
All of this happens without manual intervention, ensuring nothing is forgotten and everyone sees only the work assigned to them.
